WELCOA members in good standing with 51+ employees. 

 

PLEASE NOTE:  Those with 50 or fewer employees must use the Small Business Application. Please contact WELCOA at wellworkplace@welcoa.org to request this particular application.

 

Are There Any Deadlines For Submission?
No, there are no deadlines for submission.  Applications are accepted any time of the year.

 

What Are The Documentation Guidelines?

*Read each section carefully and make sure you understand exactly what is required.

  1. When completing the organizational background section, please list the name of your organization as you'd want it to appear on all correspondence in moving forward.  For example, if your company should receive a Well Workplace designation, we will utilize the name as entered in this section for all correspondence, posting to the web, and physical award. 
  2. Provide all required areas of documentation. Your application cannot be submitted or reviewed without ALL pieces of documentation supplied.
  3. Do not add additional documentation that is not specifically requested, such as program flyers, samples, pictures, etc.
  4. Respond to every question. Do not leave any question unanswered.
  5. If a numerical response is requested, use numbers. Do not insert words, ranges, estimates, or percentages.

*An Important Note Regarding Submission!
Once you hit your final submission button, you will no longer be able to modify your application including changing answers or resubmitting documents or any other required materials. Please be sure to keep all related documents in an ancillary folder on your computer until your application has been formally reviewed.

 

What Is The Time Period For Program Cycle Documentation?
The award documentation must represent a 12-month program cycle that has been completed. This includes data collection, operating plan (including budget), interventions and evaluation. Data collection from a previous cycle is acceptable if it is still valid and relevant to current programming decisions. (i.e. HRA is 2 years old, but employee population has remained consistent).

Remember, the Well Workplace process is a learning process, not just an award application process. Take advantage of the following opportunities:

 

What If My Program Involves Multiple Sites?

If your wellness program is implemented uniformly among all sites, you may be able to include all of them in your application. This means that data collection, evaluation, and program access is consistent among all sites. If your program is not consistent, you should include only the site(s) for which all parts of the program documentation apply. Before making this decision, contact a WELCOA representative at wellworkplace@welcoa.org to discuss the most appropriate way to handle this circumstance.

When Does The Designation Expire?
Your Well Workplace designation remains current for three years. If you wish to renew or upgrade your designation level, you must complete and document a full 12-month programming cycle before reapplying.

 

Communication DevicesHow Will The Information In My Company’s Application Be Used?
By submitting a Well Workplace Awards Application, your company is agreeing to release your information publicly.  WELCOA, at its sole discretion, may choose to disseminate and publish exemplary operating plans, vision statements, job descriptions, team minutes, and similar documents so others may learn from your example. 

 

What Happens After I Submit My Application For Review?
The national review process will take up to eight (8) weeks. You will be notified in writing of the application review outcome when this process is completed. If your application meets all requirements, you will receive a notification letter and scores in each benchmark. Carefully consider your scores and refer to the responses you made to each question. To attain a higher level in the Well Workplace Award hierarchy, you should attempt to be the best in every aspect of each of the 7 Benchmarks.
